Sub title:
Provides administrative and operational support to the Winnipeg office team.  Includes assisting in preparing marketing tools, data entry and arranges complex travel arrangements for senior and mid-management. Work can be substantial and confidential in nature and may require detailed instruction.
  • Greets visitors and routes them to appropriate individuals, answer phones, and serves as a resource on office procedures and general inquiries.
  • Attends meetings and takes detailed notes for documentation purposes.
  • Responds to inquiries, and determines and takes appropriate action as required. Serves as a resource regarding a defined set of policies and procedures.
  • Performs duties associated with scheduling, organizing, and operating conferences, seminars, and events, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
  • Drafts and/or generates routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, complex reports, brochures, and displays.
  • Disseminates routine communications, such as memos, notices, emails, and letters.
  • Performs office duties, including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of office supplies.
  • Tracks facility and/or office equipment, such as keys, vehicles, etc. via logs, and schedules repairs as needed.
  • Codes and reconciles invoices. Reviews invoices for accuracy, and initiates purchase approvals when necessary.
  • Arranges meetings (including web meetings), and assists with routine conferences, including scheduling rooms, meeting setup, ordering meals, and assembling materials.
  • Makes travel arrangements as directed in compliance with Company policies.
  • Creates and maintains files and filing systems.
  • Provides assistance on routine matters, as needed.
Education /Experience
  • High School Diploma and three or more years of relevant senior administrative experience, or an equivalent combination of education and relevant experience.  Experience in Agriculture is a benefit
Knowledge, Skills and Abilities
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Strong MS Office skills required, particularly Outlook, Word, Excel, and Powerpoint, experience in graphic design is a  benefit
  • Demonstrated success in following through and completing routine tasks.
  • Basic accounting education or experience; 10-key by touch preferred
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.
  • Knowledge of Cisco Webex Web Conferencing helpful
  • Advanced smartphone user
Standard office environment
  • May be required to sit for extended periods of time
  • Flexible to work odd hours
  • Some travel may be required
